dc.description.abstractThe study was entitled examination of records management system in government institutions, a case study of kabala municipal council, kabala district. The purpose of the study was to examine the importance of records management systems in government institutions with specific reference to kabala municipal council, Kabale municipality. The objective of the study were the following; to identify the different kinds of records kept at kabala municipal council, to examine the importance and contributions of the records management system towards proper planning of kabala municipal council, to identify the challenges encountered in managing records in kabala municipal council and to determine the possible measures that can be put in place to overcome the challenges encountered in managing records in kabala municipal council, kabala district. The research design used was both descriptive and analytical where by qualitative and quantitative research designs were employed the methods used to collect the data were observation, questionnaire, documentary and interview methods. The target population was 20 respondents of which 04 were administrators staff , 02 were registry staff and 14 employees were from the population the findings of the study also conclude that there are challenges of records keeping affects operation of the office and destroy it, limited knowledge about the importance of records, loss of files, poverty which hinders development, difficulty in location of some records and stealing, the rapidly increasing responsibilities and the limited personnel resources and solutions include filling which enables quick reference, documentation must be simple, accurate economic and useful for organization, more budgeting allocations should be increased, filing and stocking of records and document in a good safe place and need for proper documentation. The findings of the study concluded that. There are roles of records management. The researcher came up with the following recommendations; should put in shelves in order to take proper filing which quickens reference of records, the government should allocate funds in order to reduce poverty which hinders the development of records, employing of skilled personnel in order to reduce on limited knowledge which also hinders the development of records and modern equipment’s for proper records management should be brought and emphasis should be put in computer based equipment’s.en_US
