Abstract

The study assessed Preservation of Electronic Records and Performance of Microfinance institutions: A case study of Lyamujungu SACCO Kaharo branch. The objectives of the study were To find out the types of electronic records kept in Lyamujungu SACCO, to investigate the role of preserving Electronic Records towards performance of Lyamujungu SACCO, to identify the challenges faced in preserving Electronic Records for performance of Lyamujungu SACCO and to suggest the possible solutions to challenges faced in preserving Electronic Records in Lyamujungu SACCO for better performance. A descriptive research design was used and a sample size of 60 respondents was used for the study and collection methods used in collecting data was questionnaire and interview. The results on types of electronic records kept in Lyamujungu SACCO were bills and receipts, income statement, inventories of goods, financial statements, employment records, cash flow statement and balance sheet, the study findings on the role of preserving Electronic Records towards performance of Lyamujungu SACCO were; enables quicker and cheaper documents compilation, Electronic Records enables staff to access all information anytime, provide access to very large information, provision of online tools and sharing of content, there is little personalization for users, the study findings, on challenges faced in preserving Electronic Records for performance of Lyamujungu SACCO, were inadequate technical knowledge, inadequate skills, adequate communication infrastructure, poor management of records and inadequate finance and the study findings on the possible solutions to challenges faced in preserving Electronic Records in Lyamujungu SACCO for better performance were proper methods of filing, training of records management staff, expanding the file system capacity, improvement in provision of bandwidth and training of records management staff. The study recommends that there should be enough infrastructures to support Electronic Records management at Lyamujungu SACCO so that better performance can be achieved, training of staff should be done in order to effectively use digitization at the SACCO and this can reduce delays in retrieving of the information and the government should provide loans to SACCOs in order for them to purchase and have the necessary requirements computers; switches and network cables to enable them effectively manage their activities
