Abstract

The study investigated an assessment of records management practices at Uganda college of Commerce Kabale. The objectives of the study were; to establish the records management practices at UCC Kabale, to identify challenges associated with records management practices at UCC Kabale, to propose possible solutions to the challenges faced in implementing records management practices at UCC Kabale. The study used a descriptive research design and data was collected using interviews and observations. The study findings on records management practices at Uganda College of Commerce Kabale were; records creation, control storage and access, retention and disposal procedures, record, track and monitor and destroy or delete. The study findings on the challenges associated with records management practices were; inaccessibility of the records, insecurity of the system, technical in nature of records management practices, exponential growth of information and rapidly multiplying/spreading copies, knowing what to keep and disposing of records properly. The study finding on the possible solutions to the challenges faced in implementing records management practices at Uganda College of Commerce Kabale were; retention and durability, provision of storage and security, establishing ongoing programs for training in managing records, recognizing this multi-format reality of paper and electronic records, maintaining the authenticity and trustworthiness of records management practices, proper disposal and use of a computer based records management practices. The study recommended that there is a need to offer training sessions and resources to registry staff members on proper records management practices and the use of digital record-keeping systems. Registry staff on the importance of maintaining accessible records and provide ongoing support to address any challenges they may encounter and there is a need for implementation of access controls and permissions within digital records management systems to restrict access to sensitive information while ensuring that authorized personnel have the necessary permissions to access relevant records and there should be regularly review and update access controls to align with changing roles and responsibilities.
