Abstract

The study looked at the records retention and disposition policy at Kabale University. The study was guided by objectives like establishing the current status of the retention and disposition policy at Kabale University, evaluating the strengths and weaknesses of the retention and disposition policy at Kabale University, and suggesting possible solutions to the weaknesses of the retention and disposition policy at Kabale University. The study sampled a total of 15 which was collected and used in the analysis. Data was collected through questionnaires and interviews. The research used a descriptive research design. Research findings showed that the retention schedule lays down the length of time in which the record needs to be retained. Some respondents also showed that neither social promotion nor retention is supported by available research as a first option for students experiencing academic difficulty. The majority of the respondents showed that there is inadequate knowledge about the retention and disposition policy at Kabale University. Lack of security and privacy was also reflected by respondents who showed that the retrieved records may lack security and privacy since they are displayed for review and discussion hence affecting their privacy. Restrictions on access to records showed that the University should also keep personnel files that reflect performance reviews and any complaints brought against the University or individual employees under applicable state and federal statutes. Therefore according to the study, an effective records retention and disposition policy at Kabale University is the control quality of information, improves the filing system, Regulates and oversee actions and decisions, improves information handling and allows quick retrieval, Reduces operating costs, fosters professionalism, and avoids records redundancy. The study recommends that the University should discuss through meetings the retention and disposition schedule for the documents in the university records. There is a need for the University to increase its training programs or workshops in electronic records keeping to the grassroots people.
